Most of a cleaning company's work is regular: offices, housing communities, short-term rentals. In Mopka you set up a series once, and the next visits appear in the calendar by themselves.
Creating a series
You create a series in the regular job form (Jobs → New job). Fill in the client, address, times, crew, billing, checklist and notes as for a one-off job, then tick Repeat and choose:
- Frequency: Daily, Weekly, Every 2 weeks or Monthly.
- Days of week or Day of month. A weekly series can run on several days, e.g. Monday and Thursday.
- Repeat until (optional): the end date. Leave it empty for a series with no end.
The first visit falls on the day set in the Date field. You can turn an existing job into a series from its details with Make recurring.
The series stores the client, schedule, crew, billing, checklist and notes. Extra services, skills, travel and photo requirements are set on individual visits.
What happens after saving
Mopka immediately creates visits 12 months ahead, or up to the Repeat until date if that comes sooner. Every night it adds more, so the calendar always reaches a year ahead.
The client doesn't get a confirmation for every visit in the series. The reminder the day before a visit works the same as for a regular job, if you turn it on.
You'll find all series in Calendar → Recurring. You can search them by title, client and address, and filter by employee and weekday. A series' details show its Upcoming Jobs.
Changing one visit or the whole series
A client asks to move one cleaning? Open that visit and change the date. Mopka asks what the change applies to:
- Only this job: you change one visit and the rest of the series stays as it is.
- This and future jobs: the change covers this visit and all the following ones.
If you drag a series visit to another day in the calendar, only that visit changes. You change the settings of the whole series in its details with Edit schedule.
The series checklist
A series can have its own task list (This series' list), separate from the template. For each task you set how often it appears: at every visit, weekly on a chosen day, once a month (e.g. on the last Thursday), quarterly or only in season. A preview shows which tasks land on the next visits. Changing the list affects the upcoming visits of the series that haven't started yet.
Breaks and endings
The client is taking a break, e.g. two months away? Open the series and click Deactivate. Mopka cancels the scheduled visits from tomorrow and creates no new ones. When the client is back, click Activate: visits whose date hasn't passed come back to the calendar, and Mopka adds the next ones. You can't set the return date in advance, so note it down, e.g. in the series notes.
A series with an end date gets the Ended status once that date has passed. To resume it, move or clear the Repeat until date.
When you mark a client as inactive, their series are switched off too.
Delete removes the series together with its future visits. Visits that are completed, started, or have logged hours or photos stay.
Common situations
The first visit should be a week from now. Set that date in the Date field. A series doesn't have to start today.
The client wants one invoice for the whole month. Go to Invoices → To be invoiced, select the visits and issue one invoice. For a fixed monthly amount, set the client's billing to Monthly subscription.
An employee goes on holiday. Once you approve their absence, Mopka won't let you assign them to visits in that period. Open those visits and change the crew with the Only this job option.
